Can you finance a telephony system?

Yes, telephony systems are financed as a standard asset purchase, usually on hire purchase or a lease, with the machine itself acting as the security. UK prices typically run £1,000 to £40,000, and most deals are written over 24–36 months with a deposit of around 10–20%. Decisions typically take 24 hours. Used machines are financeable too, usually with a shorter term.

What buyers actually specify

Guide prices for sizing a finance agreement, not quotes. Manufacturers in this market mostly price on application, so where a current UK list price could not be confirmed the row describes a specification class rather than naming a model. Your supplier quote is what the agreement is written against.

Machine or specification Guide price Type
Cisco IP Desk Phone (per handset, fleet order) £100 – £350 per handset IP Desk Phone
On-Premise IP-PBX Server/Gateway £1,500 – £8,000 PBX Hardware
SIP Trunk Gateway & Session Border Controller £800 – £4,000 Voice Gateway
Cabling & Multi-Site Installation £1,500 – £10,000 Installation

Tax benefits

Desk phones, PBX hardware and voice gateways qualify for the Annual Investment Allowance, so a purchase or HP agreement can be deducted against taxable profit in the year of purchase, and lease payments are deductible in full as they are paid. Call plans, SIP trunk line rental and any hosted PBX licence are billed monthly as a running cost and are not part of the equipment finance agreement.

Market context

The typical buyer is a business replacing an ageing on-premise PBX, often prompted by the phased retirement of the traditional analogue and ISDN telephone network in favour of internet-based calling, which has pushed many businesses to move to SIP trunking or a fully hosted phone system. This shift changes what there actually is to finance: hardware such as handsets and any on-site gateway equipment remains a financeable asset, while call minutes, line rental and any hosted PBX platform fee are recurring service charges that were never really assets in the first place, even under the old system. Handsets are relatively low value individually but a fleet-wide replacement across an office can still represent a meaningful purchase.

Bad credit?

Several of our 200+ lenders specialise in businesses with imperfect credit histories. You may need a larger deposit or personal guarantee, but options exist. Checking your options here does not affect your credit score, because we do not run a credit search to match you. A lender will run their own checks only if you decide to apply.

Frequently asked questions

Does telephony system finance cover call plans or SIP trunk line rental?
No, call minutes, line rental and any per-user hosted PBX platform fee are ongoing service charges billed by your telecoms provider, not physical assets, so they sit outside the equipment finance agreement, which covers the handsets and any on-premise hardware such as a gateway or PBX server. Ask your telecoms provider for a separate breakdown of hardware cost against ongoing line rental so the finance application only covers the physical equipment.
What's the difference between financing an on-premise PBX and a hosted phone system?
An on-premise PBX involves buying server or gateway hardware that sits on site and can be financed as an asset, alongside the handsets. A fully hosted phone system runs the PBX functionality in the provider's cloud, so there's little or no on-site hardware to finance beyond the handsets themselves, and most of the ongoing cost is the monthly per-user hosted platform fee rather than a financeable asset.
Can I finance handsets for a fleet-wide replacement across an office?
Yes, a bulk handset replacement, whether moving to new IP handsets or replacing ageing ones, can be financed on one agreement covering the full fleet. This is a common approach when a business standardises on a new phone system across an entire office or several sites at once. If some handsets are still working well, a phased replacement financed in stages can also spread the cost rather than replacing every device at once.
Is it worth leasing telephony equipment given the industry is moving to hosted systems?
For a business expecting to move from an on-premise system to hosted voice within a few years, a shorter lease can make sense, since it avoids owning on-premise hardware that may become redundant once the migration happens. For a business already on a hosted platform and only needing to finance handsets, the difference between finance types matters less given the typically modest overall cost.
How quickly can telephony system finance be approved?
Most applications are approved within 24 hours, and telephony system purchases under £30,000 are often approved the same day, provided the business has a clean credit history and the supplier's quote is straightforward to review. Larger orders, multi-site rollouts, or purchases bundled with other equipment on the same agreement can take a little longer, since the lender needs to review the full specification and how the purchase fits with what the business already has in place.
